This policy describes how GreenLink Solution handles personal information submitted through its business enquiry form and related correspondence, and explains your data protection rights.
1. Who handles your information
GREENLINK SOLUTION, a French SAS registered with RCS Toulouse under number 937 583 581, is the controller of the personal information described here. Our registered office is 4 Avenue Marc Pélegrin, 31400 Toulouse, France.

2. Information in a business enquiry
The Contact form asks for your name, email address and requirement. These fields are required to submit the form so that we can understand and answer your request. You can also provide your company or organisation, telephone number and an enquiry category. Please include only personal information relevant to your request.
Your message can include part numbers, quantities, conditions, documentation requirements, optical specifications, delivery details or the subject of a proposed cooperation. Subsequent correspondence can include the additional information needed to assess the request and prepare a response or quotation.
The form sends an email notification to contact@greenlinksolution.com. An email link opens your own email application; information in that email is received when you send it. The enquiry form does not enrol you in a newsletter.
3. Why we use the information
We use business contact details and correspondence to assess enquiries, communicate with the person making the request, prepare quotations and coordinate the requested business discussion. For contacts acting on behalf of an organisation, the legal basis is our legitimate interest in conducting and following up that business communication (GDPR Article 6(1)(f)).
When you personally are the prospective or actual contracting party, the necessary processing to take steps you request before a contract, or to perform it, is based on Article 6(1)(b). Records that must be retained to meet a legal obligation are processed under Article 6(1)(c). These bases are applied to the relevant purpose; submitting an enquiry is not treated as consent to unrelated marketing.
4. Who receives the information
Enquiry notifications are received in GreenLink Solution’s company mailbox and handled by Hao ZHUANG. Hostinger provides website hosting and email services. The website hosting provider is Hostinger International Ltd., 61 Lordou Vironos Street, Larnaca 6023, Cyprus. We also use email applications to access and manage business correspondence.
A subsequent sourcing, repair or logistics assignment can require relevant business details to be shared with the supplier or service provider involved in that assignment. The recipients, information needed and any international transfer must be established for that assignment before sharing. A website enquiry does not authorise unrestricted circulation of the full message.
5. Retention
For enquiries that do not result in a transaction, we retain the correspondence for up to 12 months after the enquiry is closed, then delete or anonymise it. An enquiry is closed when it has been resolved or declined, or its follow-up has ended. Where a legal obligation or a specific dispute requires selected records to be retained longer, those records are kept separately with access restricted to that purpose.
If an enquiry results in a transaction, the relevant information becomes part of the customer or supplier file. Business contracts and correspondence subject to statutory retention are generally retained for five years. Accounting records and supporting documents, including customer and supplier invoices, are retained for ten years from the close of the relevant financial year. Records needed for a specific dispute or another legal obligation are retained for the applicable period, with access limited to that purpose.
Hosting and email providers maintain technical logs and backup copies for service operation, security and recovery. Their retention depends on the data category, the purpose served and applicable legal requirements. Hostinger’s published backup guide currently describes 7 days of daily website backups and 6 weeks of weekly backups. These website-backup periods are separate from our enquiry-retention rule and do not describe email-backup or log retention. 6. Service locations and international transfers
Hostinger has confirmed that the website’s hosting server is located in France. Hosting, email, backup and support services can involve processing in other countries; the website server location does not mean that all related data remains in France.
Hostinger provides hosting and email services under its Data Processing Addendum. Its contract provides for EU standard contractual clauses, where applicable, for transfers outside the European Economic Area to countries without an adequacy decision. 7. Website technology and cookies
The enquiry form uses built-in automated spam protection and a minimum submission time to help prevent abusive submissions.
This website uses Cookie Consent by Elementor to show cookie choices and remember your preferences. The tool is configured for opt-in consent worldwide, with optional categories off by default and a choice-expiration setting of 180 days. You can accept or reject optional categories, or save a customised choice. Use the Cookies button at the bottom left of the page to reopen the preferences and change or withdraw your choice.
Elementor supplies the consent-management service. Its Cookie Consent service terms describe the processing and storage of consent records, including choices, time, geographic region and technical identifiers, to document consent. The 180-day preference setting is separate from the service’s consent-log retention period.
The site serves its font files locally. The business enquiry form uses WPForms Lite, which does not use WPForms visitor-identification cookies or collect the additional IP-address and browser/device details described in its GDPR documentation. Technical connection information handled by the hosting and security services is separate from the information entered in the form.
8. Your rights
Depending on the processing and the conditions in data protection law, you can request access, correction, erasure, restriction or portability of your personal information. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.
Send requests to contact@greenlinksolution.com. We may request proportionate information to verify your identity where necessary. You can also complain to the French data protection authority, the CNIL.
